NEW CALIFORNIA CIVIL RIGHTS DEPARTMENT POSTERS FOR 2025
The California Civil Rights Department (CRD) (Formerly DFEH) has published the following updated posters for 2025.
FMLA/PREGNANCY
This notice must be posted and must also be given to an employee who is seeking pregnancy disability leave or reasonable accommodation/transfer for pregnancy, childbirth or related medical condition and/or who is seeking family care or medical leave. Employers are also encouraged to give this notice at time of hire to each new employee.
This notice applies to California employers with five or more employees (subject to the California Family Rights Act (CFRA) or Family and Medical Leave Act (FMLA).

PREGNANCY
All required posters are to be conspicuously displayed in the workplace where they can be easily seen and read by all employees and job applicants. The text has to be large and legible enough to be easily read when posted. (As a result of COVID and the transition to remote work, employees working remotely can be provided with this information electronically).
The Posters must be displayed at the following places:
- At each location where a company has employees – offices, stores, warehouses, branches, etc.
- On computers as long as the posters are posted electronically in a conspicuous place where employees will tend to see it.
Employers are also reminded that if 10 percent or more of a company’s workforce speaks a language other than English, the posters must also be displayed in that language (or languages). CRD provides translated posters in several languages, available here.
CALIFORNIA PAY DATA SUBMISSION DEADLINE IS FAST APPROACHING
In 2020, California implemented the requirement to report detailed information regarding pay data. The law mandates private employers with 100 or more employees, including those hired through labor contractors, annually report pay and demographic data to the California Civil Rights Department (CRD).
Under California’s law, employers must submit their pay data reports annually, with the deadline for the 2025 reporting year set for May 14, 2025. The report must include:
- Employee demographic information: race, ethnicity, and sex.
- Pay data: categorized by job category and pay band.
- Hours worked: for each employee within the reporting year.
The Civil Rights Department (CRD)’s pay data reporting portal is now open for submitting 2024 reporting. The CRD has published a handbook for employers that provides instructions for submitting and certifying annual reports, in addition to the Frequently Asked Questions page.
The CRD also cautions that Excel templates and CSV examples have been updated so employers should not use prior years’ versions as they will be rejected.
